Introduction
Harvest Supply Co. is a made-up distributor that sells to shops and restaurants. Every delivery comes with an invoice, for example invoice INV/2026/10/0021 for $576 to Blessing Mart.
Customers pay by bank transfer. But the bank statement only shows three things: the amount, the sender's name, and a short note the customer typed in.
Someone in finance has to read every line, work out which invoice it pays, and mark that invoice as paid. This is called payment reconciliation. It sounds simple, until the notes are messy, the sender isn't the company on the invoice, or the amount doesn't quite add up. When the work piles up, nobody is sure who has paid and who still owes money.
In this demo, an AI agent does the matching. It settles the clear payments, explains its thinking on the unclear ones, and hands every risky one to you, the finance manager.

Why this is hard to do by hand, and how the agent helps
- Problem: The notes are messyCustomers type whatever they like: typos, no invoice number, or two invoices in one note.AIHow the agent helps: AI reads the note like a person wouldIt works out which invoices the customer meant, even when the note is unclear, and explains why.
- Problem: The name doesn't matchMoney often comes from an owner's personal account, so the sender isn't the company on the invoice.AIHow the agent helps: It suggests who paid, then remembersConfirm once that Henry Walsh pays for Forward Together Ltd, and the agent knows it next time.
- Problem: The amounts don't add upA bank fee takes a little off, a customer pays half now, or the same invoice gets paid twice.AI + rulesHow the agent helps: Each case gets the right labelFixed rules check the numbers. The agent names what happened (a fee, a part payment, a double payment) instead of forcing a match.
- Problem: Unpaid invoices get forgottenChasing late customers is slow and uncomfortable, so reminders go out late or not at all.AIHow the agent helps: Reminders are drafted for youThe agent picks who needs a nudge and writes a reminder that fits how late they are. You read it before anything goes out.
You stay in charge. The agent never makes a money decision on its own. Refunds, unknown senders, and anything it isn't sure about stop and wait for you, with its reasoning written out.
